Job Description

The Department of Radiology has an outstanding opportunity for a Human Resources Coordinator to join their team.

About this Opportunity

Reporting to the Department HR Administrator, the Human Resources Coordinator is responsible for the hiring lifecycle process of faculty and trainee appointments including visa sponsorships and HR/Payroll reporting. This position is located at the Health Sciences Building, and operates a Monday through Friday schedule at 1.00 FTE. This position is eligible for hybrid telework.

Key Responsibilities

Faculty Appointments- 65%

Assist HR Administrator & Faculty Coordinator with:

  • Coordinate all aspects of the faculty appointments including gathering faculty documents, completing appointment packets, and submitting for approvals.
  • Maintain faculty appointment checklists and update reports.
  • Assist with monitoring faculty appointments end dates, including fellowship program appointments.
  • Coordinate renewal of appointments.
  • Distribute materials for the new junior faculty orientation and help assist section program coordinators with onboarding/orientation.
  • Generate and prepare final reports.
  • Maintain accurate Radiology faculty files (electronic & hard copy).
  • Coordinate trainings with Radiology's Program Coordinators, HR Team, and Assistant to the Chair.
  • Assist HR Administrator with faculty recruitments including assistance with posting advertisements.

Visa Appointments- 20%

  • Support the Radiology HR team with coordinating visa appointments, including gathering required documents, preparing & ensuring completion of visa packets for the International Scholars Operations team, and answering any questions.
  • Oversee the end of appointments for all visa appointments (faculty on visas, postdoctoral scholars, clinical trainees, visiting scholars, and visiting students) and informing the Radiology HR team to ensure any necessary renewals get initiated in a timely manner.
  • Submit departmental requests for the Conrad 30 J-1 Visa Waiver process with Washington State for our faculty needing this visa support.

HR/Payroll Reporting- 10%

  • Run reports to see upcoming end dates and communicate with HR team to help process changes as needed.
  • Review faculty, trainees, and staff start and end dates for FMLA or other leaves and process actions as needed.
  • Establish and maintain electronic tracking system to ensure training requirements; customize training plans based on positions and appointments to make sure university required trainings have been successfully completed.
  • Monitor the Spring and Fall Medicare Time Survey for completion by faculty and trainees in the Department of Radiology.
  • Run reports to provide analysis as needed for department management.
  • Initiate and provide updates on Workday functions.
  • Ensure Workday activities are managed accurately and timely, following compliance requirements per the State and University regulations.
  • Complete required training for this role provided by EWH including: HCM Initiate 2 training, Costing Allocator training, and Time and Absence training.

Self/Team Development- 5%

  • Collaborate with RADHR team to refine/create HR business processes and SOPs.

Minimum Qualifications

  • High School diploma or GED certificate and two years of office/clerical experience including at least six months of experience in a human resources or related setting.

Preferred Qualifications

  • Knowledge of and experience with the University of Washington.
  • Proficiency of and experience with UW HR/Payroll Systems (i.e. Workday).
  • Four-year degree in business.
  • Ability to exercise independent judgement.
  • Ability to work under pressure with constant deadlines and changing priorities.

Working Conditions

While performing the duties of this position, the employee is regularly required to speak or hear. The employee frequently is required to sit; use hands to write, type, handle, or feel; and reach with hands and arms. The employee may occasionally lift and/or carry up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.

The Radiology HR (RadHR) team consists of the HR Administrator, two Human Resources Dept Managers, one Assistant to the Chair, and two Human Resources Coordinators.

Compensation, Benefits and Position Details
